1. Who provides the service
BidFilling is provided by Itani Technology Investments (Pty) Ltd, a company registered in South Africa (registration number 2015/354315/07), 90 Grayston Drive, Sandton, Johannesburg, South Africa. Contact support@bidfilling.com for service, billing or account questions and privacy@bidfilling.com for privacy requests.
2. Business use
BidFilling is offered to businesses and their authorized representatives for preparing procurement and bid documents. By creating an account you confirm you are acting for a business and are authorized to accept these terms on its behalf.
3. What the service provides
BidFilling stores reusable business information, analyzes supported bid forms, suggests answers and their locations, provides preparation checks and generates completed PDFs for you to review and download. Supported uploads are fillable or digital PDFs and supported Word documents converted to PDF. Scanned or image-only documents are not supported; no OCR is performed.
Preparation checks are an aid. They do not certify compliance, confirm that every requirement has been found, or guarantee that an agency will accept a bid. BidFilling does not submit bids, sign certifications or affidavits for you, or provide legal, tax or procurement advice. BidFilling is not affiliated with, endorsed by or acting for SAM.gov, the IRS or any federal, state or local government agency.
4. Accounts and authority
Use an account you are authorized to control and keep sign-in details secure. Provide only business information and documents you are entitled to use, including information about owners, officers and signatories.
Business verification confirms identity and authority for access to the trial and processing. It is not government registration or certification. Do not impersonate another business, obtain repeated trials for the same business, upload unlawful content or interfere with the service or other customers.
5. Free trial
After business verification is approved, an eligible business can complete two bid forms free, with no payment card required. Creating another account does not reset the same business’s trial.
6. Paid plans and checkout
Paid plans and packs are priced in US dollars and shown on the pricing page before purchase. Checkout, payment processing, sales tax and invoicing are handled by our authorized reseller and merchant of record, Paddle.com, whose buyer terms apply to the purchase. Plans and allowances are described at checkout; any price change is shown before a new purchase or renewal.
During the private beta, paid checkout may be unavailable. Contact support if you need more completions.
7. Reservations and completed documents
Uploading a bid form reserves an available completion while it is analyzed and reviewed. Free completions are used before paid ones. The first successful PDF generation completes that use. Reviewing, downloading or regenerating the same form does not use another completion. A different form is a separate completion. Failed analysis releases the reservation.
8. Your review and submission
Check every answer, certification, date, amount, page, attachment and answer placement against the agency’s instructions. Automatic mappings can be incomplete or wrong. Certifications and affidavits (for example non-collusion, debarment or conflict-of-interest statements) must reflect the facts and be made by an authorized person.
You remain responsible for signatures, notarization where required, required attachments, deadlines and submission through the agency’s specified channel.
9. Your information
You retain your rights in information and documents you provide and permit the processing needed to operate the workspace, prepare documents, administer billing and support, and protect the service. See the Privacy notice for details.
10. Disclaimers and liability
The service is provided on an “as is” and “as available” basis. To the extent permitted by law, we disclaim implied warranties, and our total liability for any claim relating to the service is limited to the amount you paid for the service in the 12 months before the claim. We are not liable for lost bids, lost profits or indirect damages. Nothing in these terms limits liability that cannot be limited by law.
11. Governing law and changes
These terms are governed by the laws of South Africa, without prejudice to mandatory protections that apply to you. We will try to resolve any complaint with you directly first; contact support@bidfilling.com. Material changes to these terms or to how we handle your information will be communicated through the service or by email.
