1. Who we are
BidFilling is provided by Itani Technology Investments (Pty) Ltd, South Africa. Privacy contact: privacy@bidfilling.com. Customer businesses are responsible for having authority to provide personal information about their owners, officers, signatories and contacts.
2. Information we process
Information comes from you, your authorized users, our sign-in service and our payment reseller. It can include:
- Account identifiers, email addresses and workspace roles.
- Business details such as legal name, DBA, EIN, addresses, contacts and signatory names and titles that you choose to save.
- Bid forms you upload, extracted text and fields, answers, certifications, review history, generated PDFs and supporting documents.
- Orders, plan and payment status and reseller references; support requests, audit events and technical and security logs.
3. How we use it
To sign you in, maintain profiles, analyze and fill documents, record review decisions, generate downloads, verify trial eligibility, manage plans and completions, provide support, prevent fraud and duplicate trials, secure the service and meet legal obligations. We do not use your documents to train AI models, and we do not sell personal information or share it for cross-context behavioral advertising.
4. Service providers and location
Microsoft Azure hosts the service and stores data in the United States (Central US region). Microsoft Entra External ID provides sign-in. Paddle.com acts as merchant of record for purchases and processes payment details on its own checkout; card details are not entered into BidFilling forms. Authorized administrators can access operational and support records for their duties. Our team operates from South Africa and may access information from there under appropriate safeguards.
5. Retention and deletion
We keep information while your account is active and as needed for support, disputes, fraud prevention and legal requirements. Request deletion or account closure at privacy@bidfilling.com. Backup and versioned copies are removed on their normal protection schedule. Minimal records may be kept to prevent repeat trials.
6. Security and cookies
We use HTTPS, authenticated document access, workspace isolation and restricted backend services. No method is completely secure; report suspected unauthorized access to privacy@bidfilling.com. Only essential cookies for sign-in and session security are used; no advertising or analytics cookies are set by the application.
7. Your choices and rights
You can access, correct, export or delete information in your account, or ask us to do so at privacy@bidfilling.com. Depending on your state of residence (for example California, Colorado, Connecticut, Virginia and others), you may have additional rights to know, delete, correct or opt out, and to appeal a decision. We will verify your identity and authority before acting and will not discriminate against you for exercising your rights.

The date at the top identifies this version. We will tell you about material changes through the service or by email.
